What a bot in the room actually costs you

None of this is a flaw in any particular product. It is what joining a call as a participant means.

Everyone can see it

A notetaker bot joins as a participant, with a name in the list and often an announcement. Whatever the room thinks about being recorded, it now thinks it in the middle of the meeting.

It needs a link to join

No calendar invitation, no bot. That rules out the corridor conversation, the phone call, the client who dropped in, and the site visit — which is where a great deal of what gets decided is actually decided.

It only covers online calls

A bot cannot attend a table. If half your meetings happen in a room, a bot-based notetaker covers half your meetings.

It is another party in the call

A visible third participant with its own access is a different question for your IT and legal people than a recorder running on a device you already trust.

Those are the sections of an ordinary set of minutes, which is deliberate — you can copy the meeting minutes template they follow and fill it in by hand instead, for the meetings you would rather not record.

Phone calls

A call on speaker is a conversation like any other. There is no link for a bot to join.

The five minutes after the meeting, where the actual decision gets made. It never had an invitation.

Interviews and research

One-to-one, in a room or over a call, where a third participant appearing in the list changes how somebody answers.

Online calls, from your side

Zoom, Meet or Teams in a browser tab: record the tab you are already in. Nothing joins, and nobody else in the call sees anything new.

What this does not do

Worth being plain about, because “no bot” has consequences and you should know them before you sign up rather than after.

It cannot record a meeting you are not in. A bot can be sent to a call you skip. Gorowame records from your device, so you have to be there.

There are no Zoom, Meet or Teams integrations. You record the browser tab or the room. Integrations with the video platforms themselves are not built.

It does not tell the room it is recording. A bot announces itself; this does not, which means telling people is your job. Recording laws differ by country and by US state, and some require everyone’s consent. See the terms and the privacy policy.

You can connect Google Calendar and start a recording straight from a scheduled event, which keeps the event’s own name and time. That is optional — recording works with no calendar connected at all.
